How It Works: One New Hire's Packet, Start to Filed
This page follows a single onboarding packet — offer letter, new-hire forms, acknowledgments, benefits enrollment — from the invitation the new hire receives to the moment the complete file is on the record and retrievable by employee.
Intake: one portal, one checklist
The packet starts as a checklist, defined once for the role: which documents are required, which need a signature, what counts as received. The new hire gets a single invitation to a MaxxLaunch™ portal — forms to complete in the browser and documents to upload, all in one sitting, all in one place.
There is no email thread to lose and no attachment to misfile. Each submission arrives against the checklist, so from the first upload the packet's state is known: what is in, what is still owed. The checklist itself comes from the role, so a manager's packet and a technician's packet can require different items without anyone building a new process.
Reading & checking: every document is verified, not just received
As documents land, MaxxOwl™ SI reads them. Classification comes first — is this the offer letter, a tax form, the policy acknowledgment? — decided from the document itself, not the file name. Then the required fields are extracted and checked: names match the hire, required entries are present, pages are legible and complete.
An item only counts as received when it passes. A form that arrives blank, or a scan too faint to read, does not quietly join the file — it is flagged at this stage, while the new hire is still in the flow and can fix it.
Signatures: collected inside the packet
Several items on the checklist — the offer letter, the policy acknowledgments — count only when signed. Those are routed for signature as part of the same flow, and the signed versions return into the packet and are checked like everything else: right document, right person, signature present.
Nothing lives off to the side in a separate signing tool. When this stage ends, HR can see exactly which signatures are in hand and which are still outstanding. (The signing itself is covered in depth at SecureSignNow.)
Resolution: the one missing item
In this packet, everything checks in except one item: the direct deposit authorisation was never submitted. In a manual process that gap might surface at the first payroll run. Here it surfaces immediately — as a resolution item in Outcome Workspace™, showing what is missing, whose packet it belongs to, and how long it has been outstanding.
The new hire is reminded through the portal, uploads the form, and it goes through the same reading and checking as every other item. It passes, the resolution closes, and the packet's checklist turns fully green — with the detour on the record, not erased from it. HR never had to discover the gap or chase it personally: the item carried its own reminder, and its age stayed visible on the packet until it closed.
Recorded: the complete file, retrievable by employee
With every item checked, signed, and resolved, the packet is filed in Outcome Repository™ as one record: the employee's file. It holds the documents themselves and the history of how they got there — what was submitted, what was signed, what had to be chased and when it arrived.
That record is the outcome — what got done with it. Months or years later, the file is retrieved by employee in one step, complete and provable, instead of being rebuilt from inboxes. And Outcome Analytics™ can report across every packet: completion rates, the items that most often need resolution, and where onboarding paperwork actually spends its time.
The same loop, every packet
Onboarding is the busiest packet, not the only one. Benefits changes, role changes, reviews, and updated forms run through the same five stages — intake, reading, signing, resolution, record — against their own checklists, into the same employee file.
